Trafo Base Camp Guest House Regulations

Dear Guest!

Thank You for acknowledging the Regulations of Trafo Base Camp Guest House and following its principles. These Regulations have been set to ensure Your safe and pleasant stay in our Guest House.

1. The management and staff of Trafo Base Camp Guest House are putting their best effort into providing You a possibly highest standard of service. Please kindly note though, that You are staying in a guest house whose defined standard differs from the one provided by a hotel.
   Nevertheless, should You have any comments or claims concerning our service, please note them at the reception desk immediately.
2. When checking in, the Guest should present a document with current picture (ID, driving license, passport). In case of refusing to do so, the staff at the reception desk is obliged to refuse handing over the room key.
3. The Guest fills out personally the registration card with all necessary data, legibly and with hand written signature.
4. Filling out and signing the registration card equals acceptation of these Regulations by the Guest.
5. The length of the stay in the Guest House is calculated with guest house nights.
6. A guest house night starts at 16:00 (4:00 PM) and lasts until 11:00 (11:00 AM) of the following day. Until that time the room should be empty and the room key handed over to the staff at the reception desk. Should the room not be empty by 11:00 (11:00 AM), another guest house night will be started and charged for.
7. The fee for the complete reservation is charged in advance on the first day of the stay in the Guest House. All prices include local taxes. Prices are contractual and may change under certain circumstances.
8. Reservations can be made personally at the reception desk or by email at baza@trafobasecamp.pl. Making a reservation is equivalent to acceptance of these Regulations.
9. We don’t accept phone reservations.
10. An advance payment of 40% for the reservation and other services should be paid into the following account: Trafo Base Camp, Laczna 39, 41-303 Dabrowa Gornicza, PL 66 1050 1360 1000 0090 3043 4758. Name, surname and the arrival date at the Guest House should be marked in the transfer title.
11. In case if a room will not be empty until 15:00 (3:00 PM) and another reservation for this room has been done for the forthcoming night, the staff of the Guest House is empowered to enter the room, pack the luggage and move it to a locker room.
12. There is no possibility of receiving visitors in the rooms.
13. Trafo Base Camp Guest House can deny accommodation or evict a Guest whose behavior broke these Regulations or conflicted with social intercourse. The already charged fees will be not refunded.
14. The Guest informs the staff of the Guest House about the length of the stay when checking in or making a reservation. Without such information it will be assumed that the stay will last one guest house night.
15. The Guest shall not pass a room or room key to other people even if he checked out and the reservation period has not ended.
16. For groups of over 8 people a deposit of 200 PLN will be charged when checking in at the Guest House. It will be returned when checking out and no damages to the Guest House equipment will be noted.
17. The Guest House allows to keep pets only in private rooms upon permission of the staff member when checking in and after leaving a deposit of 50 to 100 PLN. The amount of the deposit will be decided by the staff member. It will be returned when checking out and no damages to the Guest House equipment will be noted.
18. Should the Guest wish to receive an invoice for the stay at the Guest House, it should be noted when making reservation or checking in.
19. Children under the age of 13 should stay under the care of their parents or guardians during the whole stay in the Guest House. Parents or guardians are answering for their children's behavior and damages they may do.
20. Curfew in the Guest House starts at 22:30 (10:30 PM) and lasts until 6:30 (6:30 AM).
21. Trafo Base Camp Guest House is being monitored 24/7 and watched over by the Arkan Security Agency.
22. Trafo Base Camp Guest House is not responsible for theft or any damage done to the Guest’s car or any other vehicle left on the Guest House’s facilities. The Guest acknowledges that the parking in front of the Guest House is unguarded.
23. No electrical or gas devices or equipment, namely heaters, ovens, irons etc. apart from the ones supplied by the Guest House are allowed in the Guest House rooms. This does not apply to computer or mobile AC/DC adapters.
24. Please follow the general fire regulations acknowledged in the Guest House.
25. It is not allowed to move or change the Guest House’s room equipment.
26. The Guest House charges 50 PLN in case of losing the room key.
27. The Guest takes all the financial responsibility for any Guest House equipment damage or destruction which came into being as a result of the Guest’s actions. The Guest should inform the staff at the reception desk about the damage immediately after noticing.
28. The advance payment can be refunded in full only in case if an individual reservation will be cancelled not later that 30 days before the planned arrival date. Should the reservation be cancelled after this deadline, the advance payment will be not refunded. Should the Guest wish to shorten his stay after checking in, he has no grounds to claim a partial or full refund of the amount paid for the initial reservation.
29. Guests are allowed to claim the quality of the service provided by the Guest House in writing at the reception desk.
30. Smoking is strictly prohibited inside the Trafo Base Camp Guest House.
31. When leaving the room, please make sure that the windows are closed and the doors are locked.
32. To ensure security and comfort of the Guests, only checked in Guests are allowed to stay in the Guest House.
33. During the curfew Guests should behave in a way, which should not disturb other peoples peace.
34. Consumption or possession of any kind of narcotics is prohibited in Trafo Base Camp Guest House.
35. Any sport or recreational activities using equipment owned by the Guest or lent by Trafo Base Camp are done on the Guest’s own risk and responsibility. The Guest has no grounds to make claims against Trafo Base Camp in case of suffering damage to his health or possessions. Children shouldn’t be left unattended, especially in the bouldering gym. Handing an equipment lent by Trafo Base Camp to third parties is forbidden.
36. The Guest is obliged to cover all costs of restoring damages caused by him and done to the equipment of the Guest House, either in the room or on other Trafo Base Camp facilities. Should the costs not be covered, the Guest will be prosecuted.
37. The Guest is obliged to report all damages noted in the room on the day of arrival. No report will be treated as if no damages occurred. After checking out, in case of any remaining unpaid fees, the Guest acknowledges a relevant debit to his credit card.
38. In case of suspecting the Guest of criminal offence committed in Trafo Base Camp facilities, the staff will report it immediately to the law enforcement officers.
39. The Guest should inform the staff at the reception desk about any noted damage immediately after noticing.
40. The responsibility of the Guest House concerning the loss or damage of the Guests property is regulated by Polish Civil Code (art. 846-849). The responsibility of the Guest House may be limited if the property will not be deposited at the reception desk. The Guest House has the right to refuse depositing money, securities, valuables and other items, especially of scientific or artistic value, because of security reasons or in case if their value is too high or the size too big for the Guest House’s standard.
41. Guest’s personal items left in the room after checking out will be sent back to the address marked on the registration card on the Guest’s expense. In case the Guest didn't mark the address, the Guest House will keep these items for 7 days. After this time, the items will be handed over for charity or social use.
42. Should the Guest break these Regulations, the Guest House can refuse providing further service to the Guest. Such person is obliged to follow the orders given by the staff of the Guest House, pay all the charges for present services, cover all the costs of restoring the caused damages and destructions and leave the Guest House.
43. According to art. 13 of the General Data Protection Regulation (Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016) I inform that:

1. The controller of Your personal data is Trafo Base Camp Marcin Kwasniewski, ul. Laczna 39, 41-303 Dabrowa Gornicza.
2. Your personal data will be processed in order to provide accommodation services, according to art. 6, par. 1, let. b of the General Data Protection Regulation of 27 April 2016
3. The recipients of Your personal data will be only subjects entitled to carry out a particular inquiry in the general interest, in accordance with Union or Member State law, or subject taking part in providing the accommodation service
4. Your personal data will be stored for a period of 1 year
5. You have the right to ask Your personal data controller to access, change, delete, limit processing or move Your personal data
6. You have the right to lodge a complaint with a supervisory authority
7. Your personal data are obtained under Your permission and will, nevertheless without that permission the service may not be provided

1. All disputes over these Regulations will be settled amicably during negotiations. Should this be not possible, the disputes will be settled by the local court relevant to the Trafo Base Camp headquarter placement.
2. All issues not mentioned in these Regulations will be settled by the common law.
